Knowledge and Experience:

  • College diploma (DEC) in Business Administration or equivalent.
  • Required – National Payroll Institute certification, Payroll Compliance Certificate or equivalent.
  • Minimum of 5 years of experience in a similar role.
  • Excellent proficiency in Excel.
  • Working knowledge of UKG & BI reporting.

  • Ability to quickly learn new IT systems.

Key Accountabilities:

Payroll Cycle

  • Process end to end biweekly payrolls for salaried, unionized and non-unionized employees’ groups across Canada, for 1000+ employees including:
    • Managing the receipt and compliance of timesheets and processing payroll.
    • Performing various payroll calculations and adjustments.
    • Responding to employee and manager inquiries related to payroll.
    • Handling, reconciling government and statutory remittances.
    • Transmitting necessary information and reports.
    • Preparing Records of Employment.
    • Supporting payroll technicians during the payroll process.
    • Balance and administer payroll Year End and T4 slips to employees.
  • Apply and understand all collective agreements related to payroll groups.

Payroll

  • Validate vacation and sick leave balances during annual transitions.
  • Administer the employee’s benefit program, including processing and troubleshooting claims, maintaining benefits records, answering employee inquiries and verifying billing statements.
  • Work closely with the benefits department to process disability-related payroll transactions.

Accuracy and timeliness

  • Reviewing hourly and salary payrolls for accuracy prior to finalizing. Ensuring correcting entries are made and payroll is submitted accurately and on time.
  • Ensuring timely and accurate preparation of payment requests for Sunlife Benefit Premiums, RRSPs, Garnishments, other payroll-related payments, and Union Dues, as required.
  • Investigating any/all payroll issues and promptly assigning and/or resolve internal and external inquiries.
  • Review all payrolls change forms and other documentation for completion, accuracy and appropriate approvals.

Reporting

  • Develop custom reports within the UKG payroll system.
  • Generate various payroll processing reports.
  • Reporting or reconciliations, either monthly, quarterly, or annually.
  • Supporting UKG Payroll functionality and reporting/escalating issues to the UKG Team as required.

Process and documentation

  • Develop work methods and processes.
  • Contribute to payroll procedure documentation.
  • Identifying any areas of improvement within the payroll process and leading the implementation of new payroll processes and systems.

Collaboration

  • Serve as the backup resource for all payroll groups during vacations or absences of team members.
  • Collaborate with HR business partners for any employee record changes affecting payroll and collaborate with accounting teams.
  • Assisting Payroll Specialists with year-end reporting and balancing.

Compliance

  • Ensure payroll procedures and deductions in compliance with Income Tax Act, Canadian Pension Act, Employee Insurance Act, and Employment Standard Act, the applicable collective agreements and company policies.
  • Stay informed about new payroll regulations/laws and ensure compliance.
  • Supporting all internal and external audit requirements.
  • Issue Records of Employment (ROE) within legislated timelines.

Projects

  • Participate in various departmental projects.

Team training

  • Provide guidance and support to new hires in the department.
